Recruitment & Event Staffing Specialist

We are looking for a driven and energetic relationship builder who leads and inspires others to best represent our company and client brands. The Recruitment & Event Staffing Specialist will be responsible for hiring and staffing Full-Time Employees plus Field Managers and Brand Ambassadors to work local and national events including festivals, tradeshows, brand/sponsorship activations, mobile tours, special events and beyond. The candidate will develop creative strategies for recruiting and retaining the best talent in several different markets to grow and strengthen our network of Brand Ambassadors and Employees. Strong communication, organizational, management and customer service skills are vital for the candidate to be successful in this role.

RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO/

  • Work closely with HR/Operations team to recruit and fill full-time roles for event producers/project management, creative, client services and marketing.
  • Ensure that all internal and external events are staffed appropriately, including any last-minute gaps, with Brand Ambassadors and Event Leads that best represent the client. Implement accountability measures with staff like clock-in/clock-out processes, fulfilling recap forms and data collection and setting performance expectations, providing real-time feedback.
  • Grow our diverse national database of top Field Managers and Brand Ambassadors, promotional models, CDL mobile tour drivers, back of house staff, product specialists, and costume characters/mascots based on benchmarks set by Production & Operations leaders.
  • Work with Account Managers to provide best-in-class training program to increase quality of ambassadors that will lead to client satisfaction and ongoing revenue generation for the program. Compile Keynote/PowerPoint presentations with talking points, proper attire, event information, etc.
  • Communicate with event organizers to obtain information needed to fulfill staffing requests and assist production team with developing of run of show schedules.
  • Track staffing expenses. Input and submit biweekly payroll and reimbursements. Also, collaborate with operation and production teams to create project estimates and budgets for staffing needs.
  • Develop a retention system for ambassadors, incentivizing high performers.
  • Research and create partnerships with various recruitment channels as well as writing and managing job postings through networks such as Trusted Herd and Ambassador social media groups, in addition to universities.
  • Facilitate onboarding process for all new ambassadors including interviews, screenings, apparel sizes when needed and paperwork such as W9’s and background checks.
  • Manage and maintain the ambassador database/platform and online staffing calendar/scheduling tool.
  • Lead communication with ambassadors, sending schedules and confirmation emails and fulfilling any cancellations.
  • Participate in team meetings, creating briefs for staffing needs and communicating progress to team.
  • Compile event recaps into reports for teams to share with clients in a timely manner. Evaluate results and provide recommendations for improvements moving forward.
  • Travel and onsite management for staff at events as assigned.
  • Promptly communicate any employee relations issues to event producer and Human Resources.
  • Other duties as assigned.

DESIRED SKILLS & EXPERIENCE/

  • BS/BA in Marketing, Communications, HR or relevant degree or 2+ years of experience with multiple market staffing.
  • Ability work weekends as needed which includes being accessible via phone during all events where staff is present. Travel may be required.
  • Experience in direct management of a large number of contract employees.
  • Thrives in fast-paced, high-pressure situations by making decisions, thinking critically and creating solutions.
  • Quick learner and self-starter who seeks solutions through researching, inquiring vendors and collaborating with team members.
  • Must have excellent written/oral communication skills.
  • Confident when public speaking and communicating presentations.
